 An exciting opportunity for a Managing Director Personal Assistant (MDPA) has become available within our National Finance & Administration team. Our MDPAs are professional multitaskers and it’s safe to say that no two days will be the same! Here’s a snapshot of what it’s like:

 

What does the role look like?

  • Provide administrative and secretarial support to the Managing Director (MD), and two Group Directors within National Finance & Administration
  • Manage MD and Group Director diaries and coordinate travel requirements
  • Prepare meeting minutes, presentations, memos, and reports as required
  • Coordinate and schedule meetings, conferences, and events
  • Manage emails and direct correspondence accordingly
  • Coordinate with PA team on personnel tasks including on boarding, desk moves, organisation charts and headcount documenting
  • Liaise with internal and external stakeholders
  • Compile and present data and other reports as requested
  • Complete ad hoc duties as required by the MD
  • Ability to participate in department projects

What we need from you?

  • 5+ years of secretarial experience including diary and international travel management
  • Exceptional organisational skills with the ability to adapt in high pressure situations
  • Proven experience building strong stakeholder relationships, at all levels
  • Demonstrated experience taking minutes, reporting, and monitoring expenses
  • High level of integrity with the ability to safeguard private and confidential information
  • Strong attention to detail and accuracy is essential
  • Intermediate proficiency in Microsoft Office suite
  • Effective communication skills both verbal and written
  • Ability to use initiative and proactively problem solve
  • Ability to work autonomously
